## What does the record preparation timeline calculate?

It shows the calendar-day gap between your entered visit and departure dates.

The two inputs are dates only. There is no hospital selection, patient identifier or record upload. Equal dates give a zero-day gap; that does not mean the documents can be completed that day.

For example, a visit date of 1 November and a departure date of 11 November in the same year have a ten-calendar-day difference. The calculation does not count both endpoints as two full days or turn the interval into ten business days. A same-day pair gives zero because the dates have no calendar separation. It is not a clinical or administrative assessment. No date is derived from a medical file, and the tool does not know when an institution actually receives a request or finishes a record.

The inputs contain no time of day or time zone, so the result does not include a flight departure time or an international time difference. Hours remaining after a visit and separation between calendar dates are different questions. Check those practical details against the institution’s collection hours and the actual travel arrangements.

**Dates and their meaning**

| Date | Meaning | Not inferred |
| --- | --- | --- |
| Visit | User-entered date | Record complete |
| Departure | User-entered date | Document ready |

## How does the record preparation timeline handle invalid dates?

Impossible dates and a departure date before the visit date produce an explanation rather than a day count.

A valid date must represent a real calendar date. The tool does not silently reverse the dates or substitute today. With both dates empty, it asks for dates rather than displaying an assumed interval. The supported input range is 1 January 1900 to 31 December 9999.

A non-existent date such as 30 February is invalid even where the text resembles the required format. Leap years are handled by actual calendar validation: 28 February to 1 March has two days in 2028. Reversing visit and departure produces a reversed-date message instead of a negative day estimate. When a date is missing, the tool asks for the pair rather than inserting the current date. Error messages are linked to the fields so the date or ordering can be checked without treating a missing value as a hospital delay.

## Does the record preparation timeline promise five-day issuance?

No. Rule 13-5(3) concerns a transferring patient’s request to send records to another institution, unless special circumstances apply.

It is not a standard translation, personal-copy collection or overseas-delivery period. The date tool does not decide when a legal request was received or whether special circumstances exist.

The five-day provision starts from the patient’s or representative’s request for the specified transfer, not automatically from the last treatment date. It also retains the special-circumstances qualification. This screen does not determine the legal request date, qualifying transfer, recipient institution or special circumstances. For example, a translation request before departure cannot be assigned five days simply because the desired document is a medical record. Read the transfer explanation and confirm the actual institutional route rather than treating the calendar gap as a legal deadline calculator.

**Timing scope**

| Request | Rule here |
| --- | --- |
| Calendar comparison | Difference between entered dates |
| Patient transfer to another institution | Five days unless special circumstances |
| Translation or overseas delivery | Confirm actual arrangement |

## What should accompany the record preparation timeline?

Confirm the document range, language, medium, requester route and actual collection arrangements with the relevant institutions.

An existing operation record, an imaging copy and a newly prepared certificate are different requests. The recipient can clarify what it needs; the issuer can clarify its available documents and procedures.

A receiving clinician can clarify whether it needs an operation record, an imaging report, the images themselves or a newly prepared statement. The issuer can explain what it holds and how the material can be collected. An English general certificate is a specific capped item, not automatic conversion of all records. If another person will collect material, review the applicable relative or agent documents as a separate task. None of these questions is answered by the number of days alone.

## Are dates in the record preparation timeline stored?

Dates are processed only on this screen and are not sent or persisted in the URL or browser storage.

The displayed gap is available for your preparation enquiry. It is not an appointment, an approval decision or a prediction based on hospital processing data.

Changing either date recalculates the interval on this screen. It does not notify a hospital, book a visit or send a departure plan to an external party. Leaving or refreshing the screen does not create a saved preparation record in the URL or browser storage. Keep actual appointment and collection arrangements with the institution’s own process. The displayed result should be used as a calendar comparison alongside those arrangements, without assuming that this guide is monitoring the hospital’s progress or holding patient documents.

Original scope, dates and limits remain attached to each source. Missing evidence is not replaced by assumptions.
